EVENT CANCELLATION POLICIES

In-Person Events - NCAIS Board-Approved Policy

  • Cancellations made at least two (2) weeks prior to the event are eligible for a full refund, minus a 15% administrative fee.
  • Cancellations made at least one (1) week prior to the event are eligible for a 50% refund, minus a 15% administrative fee.
  • No refunds will be issued for cancellations made less than one (1) week prior to the event as expenses for catering, contractual commitments, and administrative fees have already been incurred.

Virtual Events

  • Registration fees for virtual events are non-refundable.
  • If you are unable to attend, you may send a substitute attendee in your place. Please contact NCAIS in advance with the substitute’s information to ensure proper registration.

NCAIS reserves the right, in its sole discretion, to make exceptions to this policy under extenuating circumstances.


PROFESSIONAL DEVELOPMENT CERTIFICATES (CEUs)

Beginning in 2024, CEU records and certificates are available in your Member Compass under the Continuing Education section, rather than being emailed after events. Please note that certificates are linked to each registrant’s account. Inaccurate registration information may result in a missing certificate.


PHOTO & VIDEO RELEASE

By registering for and attending an NCAIS event, you acknowledge and agree that photographs, video recordings, and/or audio recordings may be taken during the event. These materials may be used by NCAIS for promotional, marketing, and educational purposes, including use on the NCAIS website, social media platforms, publications, and other communications.


AI NOTE-TAKING

To protect participant confidentiality and foster the authentic engagement that makes NCAIS virtual learning valuable, NCAIS prohibits the use of AI note-taking tools at virtual conferences, workshops, and webinars. AI note-takers may be permitted in non-learning contexts, such as informal meetings, with prior approval from the meeting organizer and will be evaluated on a case-by-case basis. NCAIS staff maintain the right to remove AI notetakers from any virtual gathering hosted by NCAIS.


NCAIS CODE OF CONDUCT

NCAIS is committed to creating professional, respectful, and inclusive learning environments. All participants are expected to engage thoughtfully and contribute to a positive experience. Inappropriate language or behavior is not acceptable, and NCAIS reserves the right to remove any individual (without refund) who does not uphold these expectations. By registering for and attending an NCAIS event, participants agree to adhere to this Code of Conduct.
